Job Description: Payroll Administrator /Accounts Payable– Langley, BC

The Payroll administrator and Accounts Payable role will have dual responsibilities of payroll and benefits administration along with Accounts Payable Support. This position will report to the Senior Accountant and Controller respectively. This is a great opportunity to work with a growing and diverse company.

 

RESPONSIBILITIES

PAYROLL

  • Responsible for full cycle Payroll function for 2 companies. Process payroll for 75+ employees.
  • Process and track new hires, wage adjustments, OT, terminations, direct deposits, etc.
  • Serve as the employee relations contact for employees payroll inquiries.
  • Manage all benefit status changes with carriers and make appropriate payroll changes; reconcile benefit carrier invoices.
  • Ensure company is in compliance with all Canadian federal and provincial agencies.
  • Maintain and update electronic time sheet program user profiles, and run reports required to determine payroll adjustments.
  • Process T-4’s WCB, Receiver General Remittances.
  • Assist in upgrading and implementing computer systems to process payroll and time tracking using Quick Book T-Sheets.
  • Assist and managing performance plans and documentation.

 

ACCOUNTS PAYABLE

  • Receive, sort and code invoices and supporting documents
  • Ensure invoices are entered accurately
  • Match invoices to supporting documentation such as purchase orders and weigh bills
  • Enter invoices into Quick Books
  • Understanding of the General Ledger
  • Follows and implements month end close activities to meet deadlines
  • Be open to special projects, responsibilities and other duties as assigned by Management
  • Reconciling our Vendors statements
  • Making sure accounts are kept up to date and paid on time.

 

Experience/Skills

  • Minimum 3-5 years in handling of full cycle payroll and accounts payable functions.
  • Experience with hourly and salaried payrolls.
  • Strong skills in Microsoft Office programs including Excel, Outlook and Word
  • Quick Books knowledge an asset
  • Able to work independently and as a team.
  • Must maintain utmost level of confidentiality.
  • Understanding of labour laws.
  • Some knowledge in general accounting practices with good working knowledge of A/P and payroll practices.
  • A positive attitude, good communication skills, attention to detail and Strong English skills, written and orally.
  • Adapts quickly and enjoys challenges.

Experienced Controller Required

Ice Development Ltd. is currently seeking a Controller who will be responsible for defining standards, policies, procedures, measures and organizational enhancements to meet Company goals for Finance and Administration. This role will oversee all finance, accounting, forecasting, budgeting, and other corporate functions. Controller will advise and assist the Senior Management in meeting and exceeding the overall financial and strategic objectives of the Company – helping to establish long-range goals, strategies, plans and policies.

Primary Responsibilities:

Planning

  • Assist in formulating the company’s future direction and supporting tactical initiatives
  • Monitor and assist with the implementation of strategic business plans
  • Manage the capital request and budgeting processes

Operations

  • Oversee the financial operations of related companies
  • Oversee the company’s transaction processing systems
  • Implement operational best practices

Financial Information

  • Oversee the issuance of financial information regarding preparation & review of monthly, quarterly & year end statements
  • Review and forecast cashflow requirements for both short term (weekly) & long-term
  • Ensure regulatory filings are complete and up to date
  • Ensure the accounting of revenues and expenses/assets and liabilities are performed in a materially accurate, efficient, and timely manner in conformity with applicable accounting standards
  • Conduct bi-weekly project reviews with senior management/ project managers
  • Manage and mentor Accounts receivable, Accounts payable, payroll & the senior accountant
  • Coordinate preparation for external accountant year end reviews, ensuring proper maintenance of accounting records and documentation are in compliance with statutory requirements and Company policies.

Risk Management

  • Establish internal control guidelines, monitor compliance and efficiencies of controls.
  • Ensure that the company complies with all legal and regulatory requirements
  • Ensure that record keeping meets the requirements of the accounting standards and government agencies

Third Parties

  • Maintain banking relationships
  • Maintain for debt and equity financing
  • Represent the company with bonding

Position Requirements:

  • Bachelors degree in Commerce/Finance or a related field
  • Professional accounting designation (CPA)
  • Minimum 5 years’ experience in a controller/management capacity
  • Experience with a construction environment and industry knowledge of the construction is preferred
  • Should have experience in partnering with an executive team and have a high level of written and oral communication skills.
  • Advanced current knowledge & understanding of: accounting/auditing/rules and practices.

Senior Estimator

JOB TITLE: Senior Estimator
REPORTS DIRECTLY TO: Manager of Construction
Direct Reports: Estimator, Junior Estimator

POSITION OBJECTIVE

The Senior Estimator will supervise the Estimating Division of the Company. This is a supervisory level position requiring minimum supervision and considerable independence and judgment. The Senior Estimator will lead the large and complex estimating jobs. The Senior Estimator will provide leadership and guidance to the direct reports. The Senior Estimator will be responsible for the assigning work to the direct reports, performance of the direct reports, and all related activities. (S)He will ensure that the Division performs as per the Company’s vision, goals, objectives and policies and procedures. (S)He will ensure the top-quality results are delivered within allocated budgets for the projects on an annualized basis. (S)He will establish and implement the estimating and project management policies and procedures as per the Company’s visions, goals, and objective.

JOB REQUIREMENTS

  1. Liaison between project managers, project coordinators, estimating, and client.
  2. Develop and implement Estimating Division policies and procedures in accordance with Company’s vision, mission, objectives and goals.
  3. Review scope of all new works and assign to staff accordingly.
  4. Review project documents and advise the senior management whether we should be bidding for the project or not & why.
  5. Ensure all bid submissions are complete and accurate, on time.
  6. Coordinate all site visits and follow up meetings.
  7. Conduct regular progress reviews (bidding, submission) on the projects and provide written bi-weekly report to Manager of Construction.
  8. Develop and monitor work plans for staff for compliance with schedule, quality, and overall conformance with the contract documents.

    The work plan to include:
    – Develop and maintain schedules for assigned projects.
    – Identify and evaluate alternative solutions to best meet project goals.
    – Prepare detailed construction cost estimates and proper documentations for each project.
    – Review and approved Letter of Intent, award documents and contracts.
  9. Review, evaluate and advise on contract documents, procurements, pre-bid conferences, and bid evaluations, and pre-qualifications.
  10. Provide leadership in negotiating with contractors regarding changes to design.
  11. Assist with the maintenance of CCDC, CCA, and other contract documents.
  12. Support ICE safety vision and compliance with all safety rules, policies, and procedures; maintains accountability for safety performance of subordinate personnel.
  13. Working with HR department on any matters that occur pertaining to direct reports.
  14. Liaise with senior management to help make decisions on operational activities and set strategic goals.
  15. Keeping employees motivated and organizing appropriate training.
  16. Conduct monthly reviews of the staff and report to Manager of Construction.
  17. Provide divisional analysis, reports, activities on as need basis.
  18. Participate in customer support processes and organize them to enhance customer satisfaction.
  19. Be proficient in eGordian, and UDA Construction suite to be a knowledge base for employees.
  20. Participate in the project post construction review.
  21. Conduct post mortem of lost job and provide report to senior management team.
  22. Other duties as assigned by Manager of Construction.

Experienced Carpenters Required

Position Summary
Experienced carpenters/apprentices with abilities and knowledge of materials, methods and tools required to construct, install, renovate and repair commercial or industrial structures constructed of wood, steel, concrete and other materials using carpenter’s hand tools and power tools and equipment. Able to study, interpret and understand blueprints, sketches or building plans to determine specifications and calculate requirements.

Duties & Responsibilities

  • Working from blueprints, instructions from supervisors to do layout-measuring, marking and arranging of various construction materials.
  • Cut, shape and join.
  • Checks accuracy of works and makes adjustments as required.
  • Studies blueprints for work planning.
  • Acts as a work leader and mentors to apprentice carpenters.
  • Informs immediate supervisor of abnormalities or defects and/or takes appropriate measures.

Qualifications 


Education: Successful completion of the 4th year of the Carpenter Apprenticeship Program
Experience: Minimum 5 years of related work experience

Construction Project Coordinator/Estimator


We are a Commercial/Residential Construction Company in Aldergrove and are looking for a Construction Project Coordinator/ Estimator to work with our Operations Manager and Project Managers to provide a wide variety of project coordination and support on our current projects. Currently we are working on several residential and commercial projects and we are looking for an experienced coordinator/estimator.

Responsibilities:

  • Provide support to Operations, Project Manager and Superintendents regarding all construction related issues where required.
  • Assist in preparation of quantity take-offs for various scopes of work to assist with tendering sub-trades.
  • Assist in preparation of Bids and Tender Submittals.
  • Monitor Subcontractor performance and insure adherence to the terms and conditions of such agreements.
  • Coordinate permitting and inspections.
  • Track RFI submissions and responses, and keep detailed logs of such.
  • Track and manage submission / approval of all shop drawings and submission of close out documents, and keep detailed reports of such.
  • Communicate concerns with Project Managers and Operations Management about current or future projects.
  • Complete general project reports and budgets.
  • Prepare subcontractor bid packages.
  • Understanding and knowledge of current market costs of construction.
  • Other administrative duties as required.
  • Other special duties as assigned.
  • Familiarity of UDA and asset, but not a requirement.
  • Take a lead role in managing the day-to-day administrative and document control duties in the pre-construction and construction phases. This includes requests for information, site instructions, submittals/shop drawings, change orders etc.
  • Review and code monthly invoices from subtrades and suppliers.
  • Coordinate and collect all project closeout, maintenance manuals, as-built drawings etc.

Requirements:

  • Technology diploma or engineering/construction management degree considered an asset.
  • Minimum 3-5 years related construction experience within the lower mainland, preferably with a general contractor.
  • Working knowledge of local construction methodology including administrative processes and on site activities.
  • Strong work ethic.
  • Ability to work effectively both independently and in a team environment.
  • Exceptional communication and organizational skills with the ability to multi-task and adapt to changing priorities and deadlines from multiple sources.
